This Privacy Policy explains how Joseph Clark, doing business as Campus Takes ("Campus Takes," "we," "us," or "our") collects, uses, shares, and protects personal information. It applies to two groups of people: students who join our participant panel, and clients (researchers and brands) who request participants through us. It also applies to anyone who visits campustakes.com.

By using our website, joining the panel, participating in a study, or requesting participants, you agree to the collection and use of information as described here. If you do not agree, please do not use our services.

1. Who we are

Campus Takes is an independent research panel that connects verified university students with research teams for interviews, usability tests, and surveys. We are the data controller for the personal information described in this policy, which means we decide how and why it is processed. Our registered contact details are in the Contact us section.

Campus Takes is not affiliated with, sponsored by, or endorsed by any university or educational institution.

2. Information we collect

2.1 Information from students (participants)

When you apply to the panel, complete verification, or take part in a study, we may collect:

• Identity and contact details: first and last name, university email address (.edu), and mobile phone number.
• Enrollment and eligibility information: your university, academic year, field of study, and confirmation that you are 18 or older and currently enrolled.
• Verification data: one-time-code status and timestamps used to confirm control of your .edu mailbox and phone number, plus any information reviewed separately to confirm enrollment. A successful code check does not by itself prove current enrollment or identity.
• Profile and screening data: responses to screening questions that help us match you to relevant studies.
• Participation data: which studies you are invited to, accept, decline, complete, or miss.
• Payment information: the details needed to pay you, processed through our payment provider (see Payments & tax information). For tax reporting, this may include your legal name and tax identification information.
• Study contributions: your responses, recordings, and other content you provide during a study (see Research sessions & recordings).
• How you heard about us: the referral source you select when signing up.

2.2 Information from clients

When you request participants or communicate with us as a client, we may collect:

• Business contact details: your name, work email address, and company.
• Study requirements: the participant criteria, format, timeline, and other details you share about your research.
• Billing information: the information needed to invoice and collect payment for completed sessions.
• Correspondence: records of your communications with us, including any call notes.

2.3 Information we collect automatically

When you visit our website, we and our service providers may automatically collect limited technical information such as your device type, browser, general location (derived from IP address), pages viewed, and referring links. See Cookies & analytics for details.

3. How we use information

We use personal information to:

• Operate the panel: verify eligibility, match students to studies, and schedule and run sessions.
• Fulfill client requests: recruit, screen, and confirm participants for research studies.
• Process payments to students and billing to clients, and meet related tax obligations.
• Communicate with you about studies, invitations, scheduling, your account, and support requests.
• Maintain the quality of the panel, including confirming scheduled sessions and sending reminders.
• Improve our services and understand how our website is used.
• Protect against fraud, misuse, and security risks, and comply with legal obligations.

4. How we share information

We do not sell your personal information. We share it only in the following circumstances:

• With research clients. When you take part in a study, the client running that study receives the information necessary to conduct and use the research — which may include your first name, relevant screening details, your responses, and session recordings. Clients are expected to use this information only for the research purpose and in line with applicable law. Clients do not receive your contact details, your school email address, or your payment information. Where a study is recorded, the recording is shared only with the client running that study, and only after you have consented to being recorded.
• With service providers (processors) who perform functions on our behalf, under contract, including:
  • Application storage and workflow: Airtable.
  • Email and phone verification: Twilio Verify and Twilio SendGrid.
  • Bot and abuse prevention: Cloudflare Turnstile and Upstash Redis.
  • Participant payments: Tremendous. A one-time earlier payment was sent by Venmo.
  • Website hosting: Vercel.
  • Email communications: Google Workspace; our contact address is hello@campustakes.com.
  • Scheduling and video sessions: the client running a study chooses the tool, most often Zoom or Google Meet. Their terms and privacy policy apply to that session.
• For legal reasons: to comply with law, respond to lawful requests, enforce our terms, or protect the rights, safety, and property of Campus Takes, our users, or others.
• In a business transfer: in connection with a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction.
• With your consent: for any other purpose disclosed to you at the time.

5. Research sessions & recordings

Some studies — particularly interviews and usability tests — may be audio- or video-recorded, or may capture your screen or on-screen actions. Before any session is recorded, we or the client will tell you and ask for your consent. You may decline to be recorded, though some studies may not be able to proceed without it.

Recordings and study responses are shared with the client who commissioned the study and may be reviewed, analyzed, and stored by them. Not every study is recorded. Whether a session is recorded is decided by the client running it, and you are told before the session begins. We ask for the recorded consent of everyone on the call before recording starts, so that a session is only recorded when all participants have agreed.

6. Payments & tax information

We pay student participants through a third-party payment provider. To send payment, that provider collects the information necessary to complete the transaction (for example, the email or account you choose to receive funds).

If your total incentives reach thresholds set by law, we may be required to collect tax information (such as a Form W-9) and report payments to tax authorities (for example, issuing a Form 1099 in the United States where payments to an individual reach the reporting threshold in a calendar year). If we need tax information from you, we will ask for it before sending any payment that would cross that threshold. You are responsible for reporting your own income, and nothing here is tax advice.

7. Legal bases for processing (EEA/UK)

If you are in the European Economic Area or the United Kingdom, we process your personal data on the following legal bases: performance of a contract (to provide the services you request); consent (for example, to record a session or send marketing, which you may withdraw at any time); legitimate interests (to operate, secure, and improve our services, where not overridden by your rights); and legal obligation (for example, tax and record-keeping requirements).

8. Data retention

We keep personal information only as long as needed for the purposes described in this policy, including to run the panel, meet legal, tax, and accounting requirements, resolve disputes, and enforce our agreements. When information is no longer needed, we delete or anonymize it. Research recordings and responses are retained according to our agreement with the relevant client. As a general rule, we keep panelist records for as long as you remain on the panel and for up to 24 months after your last activity, and we keep payment and tax records for at least 7 years where law requires it. You can ask us to delete your information sooner at any time.

9. Data security

We use reasonable administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, misuse, or alteration. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security. You are responsible for keeping your account credentials and .edu login secure.

10. Your privacy rights

Depending on where you live, you may have some or all of the following rights regarding your personal information:

• Access — request a copy of the personal information we hold about you.
• Correction — ask us to correct inaccurate or incomplete information.
• Deletion — ask us to delete your personal information, subject to legal exceptions.
• Objection or restriction — object to or ask us to limit certain processing.
• Portability — receive certain information in a portable format.
• Withdraw consent — where we rely on consent, withdraw it at any time.

To exercise any of these rights, contact us at hello@campustakes.com. We will respond as required by applicable law and may need to verify your identity first. You will not be discriminated against for exercising your rights. If you are in the EEA or UK, you also have the right to lodge a complaint with your local data protection authority.

11. California privacy notice

If you are a California resident, the California Consumer Privacy Act (as amended by the CPRA) gives you rights to know what personal information we collect, to request access and deletion, to correct inaccurate information, and to opt out of the "sale" or "sharing" of personal information. We do not sell your personal information, and we do not share it for cross-context behavioral advertising. The categories of information we collect and the purposes for collection are described in the Information we collect and How we use information sections. We provide this notice as a matter of practice, whether or not the thresholds that make the CCPA mandatory currently apply to us.

12. Marketing & communications

We may send you emails about studies, panel updates, and (for clients) our services. Study- and account-related messages are part of the service and are not marketing. For any promotional email, you can opt out using the unsubscribe link or by contacting us. We will still send you non-promotional messages necessary to operate your participation or account.

13. Age requirement

Campus Takes is intended only for individuals who are 18 years of age or older. Our services and website are not directed to children, and we do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a person under 18, we will delete it. If you believe a minor has provided us information, contact us at hello@campustakes.com.

14. International data transfers

We are based in the United States, and the service providers we use may process information in the United States and other countries. If you access our services from outside the United States, you understand your information may be transferred to, stored, and processed in countries whose data protection laws may differ from those in your country. Where required, we use appropriate safeguards for such transfers.

15. Cookies & analytics

We do not use analytics or advertising cookies, and we do not track you across other websites. Our own pages set no advertising or analytics cookies. Cloudflare Turnstile may use strictly necessary security signals or storage to distinguish people from automated abuse. Our application form communicates with the service providers identified above to protect, verify, and save an application. If we add analytics later, we will update this section first, and we will choose a tool that does not track individuals across sites.

16. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, for material changes, provide a more prominent notice. Your continued use of our services after an update means you accept the revised policy.
